Privacy notice
Two things still to do on this page. Add the ICO registration reference once it comes through, and have the finished wording checked by the solicitor engaged for the terms of service and the data processing agreement. This is a working draft, not a legal opinion.
Who we are
Director Filing Desk is a trading name of Summer Services Group Ltd, a company registered in England and Wales under company number 16111338, with its registered office at 132 Henley Road, Ilford, England, IG1 2TS. For anything in this notice, contact directorfilingdesk@gmail.com.
What we collect through this website
When you complete the form on this site we collect your practice name, your name, your work email address, your telephone number if you give one, your estimate of the size of your client book, how your practice currently tracks Companies House dates, who owns that job internally, and any company numbers you paste in.
Company numbers are public data published on the Companies House register. We ask you not to send client names, dates of birth or any other personal data at this stage, and we do not need them to produce the free report.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Producing and sending the free filing status report you asked for | Legitimate interests, and steps taken at your request before entering a contract |
| Contacting you about that report and about our service | Consent, given by ticking the box on the form. You can withdraw it at any time |
| Keeping records of who we have contacted and when | Legitimate interests in running and evidencing our own business |
| Meeting legal and regulatory obligations | Legal obligation |
Who sees it
Form submissions are delivered to our own mailbox and recorded in a spreadsheet held in Google Workspace. Our service providers, currently GoDaddy for website hosting and Google for email and file storage, process data on our behalf under their own terms. We do not sell your details and we do not share them with third parties for marketing.
If you become a client
Where we chase your clients on your behalf we act as your processor under Article 28 UK GDPR, and a separate written data processing agreement governs that relationship. Nothing in this website notice replaces that agreement. We also require your signed written authority before contacting any of your clients in your name.
How long we keep it
Enquiry records are kept for 24 months from your last contact with us, then deleted. Client records are kept for the period set out in the terms of service and any period required by law after that.
Cookies
This website sets no tracking cookies and runs no advertising trackers. If analytics are added later this notice will be updated before they go live.
Your rights
Under UK GDPR you have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to ask for erasure, to restrict or object to processing, to data portability, and to withdraw consent at any time. Email directorfilingdesk@gmail.com and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
If this notice changes we will update the date at the top of this page.
